Who we are
Coglass is provided by Halliday Morrow Ltd, registered in England & Wales, company no. 17358542, registered office 39a The Riddings, Sutton Coldfield, England, B76 1RW. You can contact us about privacy at contact@coglass.co.uk or on 0121 517 0383.
What this policy covers
- This website (coglass.net), including the "book a demo" form.
- Your Coglass account — the details of the person who buys and manages a subscription, at accounts.coglass.co.uk.
- The Coglass service — the web app your company uses and the Coglass phone and iPad apps used by its staff.
Who controls the data
For this website, demo requests and subscription accounts, we are the controller.
For the business data a glazing company puts into Coglass — its staff, customers, jobs and messages — that company is the controller and we are its processor. We handle that data only to run the service for them, under our Data Processing Agreement. If you are a member of staff or a customer of a company that uses Coglass, contact that company first about your data; you can also email us and we'll pass your request on.
This website
- Demo requests. If you fill in the "book a demo" form, we receive your company name, your name, email, phone number and anything you write. We use it only to contact you about Coglass. The form is sent to our own lead system (hq.coglass.app), which runs on our servers.
- No tracking. This website sets no cookies and uses no analytics or advertising trackers.
- Fonts. Pages load typefaces from Google Fonts, so your browser connects to Google's servers, which see your IP address. See Google's privacy policy.
- Server logs. Our web server keeps standard access logs (IP address, page requested, browser) for security and fault-finding.
Subscription accounts
When you buy a subscription we hold your name, email, company and billing details. Card payments are taken by Stripe; we never see or store your full card number. We use these details to provide the service, bill you, and contact you about your account. Our lawful basis is the contract with you; for tax and accounting records it is legal obligation.
Inside the Coglass service
What is held depends on how the company uses Coglass, but typically:
- Staff accounts — name, email, phone number, login details, role, shifts, holidays and credentials such as driving licence or CSCS expiry dates.
- Work records — job notes, measurements, drawings, photos, signatures and messages.
- Customer information — contact and job details entered by the company's staff.
- Location — for field staff while they are clocked in or using the job screens of the app, to show arrival and departure times and plan routes. You can turn off location access in your phone's settings; some on-site features won't work without it.
- Connected mailboxes — if a company connects its Gmail or Outlook mailbox, we receive the mail in it so staff can read and reply in Coglass.
- WhatsApp (approved by Meta, switching on shortly) — once it is switched on, if a company connects its own WhatsApp Business number, we receive the messages sent to it, with the sender's name and phone number and any photos, and send the company's replies through it. Messages pass through Meta, which runs WhatsApp. They are used only to show and answer that company's own conversations. Facebook Messenger (coming soon) will work the same way for a company's Facebook Page once available. A company can disconnect at any time in Settings.
Each company's data is held in its own separate database and is never shared with, or combined with, another company's.
How we use it
Only to provide and support the service. We do not sell personal data, use it for advertising, or track you across other apps or websites.
Who we share it with
Only with the service providers that help us run Coglass — for example hosting, email and SMS delivery, push notifications, maps and card payments — under contract and only to provide the service. The full, current list is in section 7 of our Data Processing Agreement. Some of these providers are outside the UK; those transfers use a safeguard recognised by UK law. We may also disclose data where the law requires it.
How long we keep it
- Demo requests — as long as we are in touch about Coglass; ask and we'll delete it.
- Subscription and billing records — for as long as the law requires for tax and accounting.
- Data inside a company's Coglass account — while the subscription is active. When it ends the account becomes read-only and is kept so the company can still get at it; we delete it when the company asks us to.
Your rights
You have rights to access, correct or delete your personal data, to object to or restrict how it is used, and to data portability. Contact us at contact@coglass.co.uk (or, for data inside a company's account, that company). If you're unhappy with how we've handled your data you can complain to the Information Commissioner's Office at ico.org.uk.
Deleting a staff login
If you use the Coglass app through your employer, ask your company's Coglass administrator to remove your login, or email contact@coglass.co.uk and we'll action it with your company.
This policy may be updated from time to time; the "last updated" date above reflects the current version.
